Services

What we offer, and what it costs.

Most fleets start with a one-time review of their safety record, then hand us the recurring compliance work every month. If you already have a letter from FMCSA, we can help with that too.

In detail

What's included in each service.

Here is exactly what we handle in each area, and the regulation it comes from.

49 CFR Part 391

Driver qualification files

Missing or out-of-date driver files are among the most common problems investigators find, and they are completely fixable. We build a complete file for every driver and keep it current for as long as they drive for you.

We track every expiration date and tell you well ahead of time when something is coming due, so a driver never ends up behind the wheel with a lapsed medical card.

What's included

  • Employment applications and safety performance history requests from prior employers.
  • Motor vehicle records at hire and every year after.
  • Annual driving record reviews.
  • Medical examiner's certificates and National Registry checks.
  • Road test certificates or the equivalent.
  • Expiration tracking with advance reminders.
  • File audits for new and existing drivers.
49 CFR Part 395

Hours-of-service log review

Hours-of-service violations are the most common reason mid-size fleets end up in the range FMCSA's thresholds flag. Many of them are logging errors that a regular review would have caught.

We review your drivers' ELD records on a regular schedule, using the ELD system you already have. When we find a problem, you get a clear note you can go over with the driver, and we keep track of whether it happens again.

What's included

  • Regular review of ELD records for every driver.
  • Flags for driving-time, on-duty and break violations.
  • Flags for missing or inconsistent entries and unassigned driving time.
  • Driver coaching notes you can share directly.
  • Supporting document checks during audit preparation.
  • Trend tracking by driver, so repeat problems get addressed.
49 CFR Parts 382 and 40

Drug and alcohol program

Every carrier with CDL drivers needs a compliant testing program, and auditors check the paperwork closely. We manage your program through a partner consortium, so random selections, testing and records are handled the right way.

We also run the FMCSA Drug and Alcohol Clearinghouse queries that are required before hiring and once a year for every driver.

What's included

  • Enrollment in a random testing pool through our partner consortium.
  • Pre-employment, random, post-accident and reasonable-suspicion testing coordination.
  • Pre-employment and annual Clearinghouse queries.
  • Written drug and alcohol policy and driver education materials.
  • Records organized the way an auditor expects to see them.
CSA and DataQs

CSA score monitoring and DataQs challenges

FMCSA updates its Safety Measurement System every month. We track the same safety data FMCSA uses and show you which inspections and violations are driving each of your scores, and which ones will age out soon.

When a violation looks wrong, such as a duplicate inspection, a citation for a vehicle you don't operate, or a violation that was dismissed in court, we prepare and file a request for data review through FMCSA's DataQs system. We never promise a removal. We only file when the record supports it.

Read our guide to CSA scores

What's included

  • Monthly review of your inspections, violations and crashes.
  • Estimated standing in each BASIC compared with FMCSA's thresholds.
  • The specific violations behind each score, ranked by impact.
  • DataQs requests for inspections that look inaccurate.
  • Root-cause notes so the same violation stops showing up.
49 CFR Part 385

Audit preparation

Whether it's a new entrant safety audit, a compliance investigation, or a letter you weren't expecting, the best time to prepare is before anyone asks. We go through your records the way an investigator would and fix what we find.

If you receive a notice, contact us right away. We'll help you understand what's being requested, get the records together, and prepare for the day.

What's included

  • Practice audits of driver files, logs, testing records and maintenance files.
  • A ranked fix list with the regulation behind each item.
  • Help responding to warning letters and records requests.
  • Document preparation before an onsite or offsite investigation.
  • Help with corrective action plans after a review.
Every month

Monthly reporting

Every month you get a short report written for a busy owner. It shows where your scores stand, what changed since last month, what we fixed, and the few things that need a decision from you.

If you work with an insurance agent, we can share a version of the report with them, so they can show underwriters that your safety record is being managed.

Every report covers

  • Estimated BASIC standings and month-over-month changes.
  • New inspections and violations, and which drivers were involved.
  • Upcoming expirations for driver files and testing.
  • Status of any DataQs requests.
  • Your next three priorities.

For insurance agents

Help your trucking clients keep their scores in shape.

CSA scores affect what your trucking clients pay and whether their policies renew. If a client's numbers are heading the wrong way, we can fix the files and logs behind those scores and keep you informed as things improve.

We are glad to talk with agents and brokers about working together. Get in touch and tell us a little about your book of business.
